Rental invoices and statements: what’s the difference?

A clear explanation of charges, payments and balances, with a worked rental account example.

The starting point

An invoice explains the charges being billed. A statement brings charges, recorded payments and the balance together for a chosen period.

A rental invoice and an account statement answer different questions. The invoice explains the charges you have raised. The statement shows how the account moved over a chosen period, including payments and credits. Sending both can help a tenant understand their balance, provided you make clear that the same rent is not payable twice.

What a rental invoice shows

An invoice identifies a set of charges: for example, October rent and a water charge for September. It gives the tenant a document to check against their tenancy and the amounts being requested. Useful details include the tenant and unit, invoice number, billing month, descriptions, amounts, due date and your company’s payment details.

Keep the charge descriptions specific. “Water · September” is easier to query than “Extras”. If an invoice also displays an opening balance or total account balance, distinguish those figures from the new invoice charges. A balance brought forward is not another new rent charge.

What an account statement shows

A statement brings together the entries on the account between a start date and an end date. It begins with an opening balance, adds charges, subtracts recorded payments and credits, and arrives at a closing balance. The opening balance includes entries before the selected period; transactions after its end date are excluded.

This makes a statement useful when a tenant asks, “What do I still owe?” It also helps explain a carried balance, a part payment or several months of activity. The answer is only as current as the entries recorded and the end date selected.

A worked example: rent paid, water outstanding

The following example is fictional. Jamie N. rents Unit 101. The account opens at zero, October rent is R8 500,00, and an applicable September water charge is R412,30. The administrator checks the bank record and records an EFT of R8 500,00.

Fictional account statement for 01/10/2026 to 31/10/2026
DateEntryAmountBalance
01/10/2026Opening balanceR0,00R0,00
01/10/2026Rent · OctoberR8 500,00R8 500,00
01/10/2026Water · SeptemberR412,30R8 912,30
02/10/2026Verified EFT payment recorded−R8 500,00R412,30
Closing balance at 31/10/2026R412,30

The calculation is R0,00 + R8 500,00 + R412,30 − R8 500,00 = R412,30. The invoice charges were R8 912,30. After the verified payment was recorded, the statement shows R412,30 remaining. Receiving both documents does not mean Jamie must pay the invoice total and then the statement balance as two separate bills.

Avoid double payment and double billing

When sending a statement after an invoice, explain that it summarises the same account. Ask the tenant to check the closing balance and contact you if a payment is missing. An older invoice remains a record of the charges issued, even when a later payment has reduced the account balance.

There is a separate risk on the administrator’s side: posting the rent again when you only meant to resend a document. In Albo, sending a statement uses recorded history; it does not post the rent and extras currently entered on the billing screen. If you need another copy of an existing invoice, use its resend option. Do not post the monthly charges again just to trigger another email.

Why might the balance look different?

A payment has not been recorded

A tenant may have paid by EFT, but the account will not reflect it until the administrator verifies and records the payment. Compare the amount, date and reference with the bank record before entering it. Albo does not automatically reconcile your bank account.

The statement dates are different

A statement ending on 01/10/2026 will exclude the fictional EFT dated 02/10/2026 above. Its closing balance would therefore be R8 912,30. Use the same date range when comparing two statements, and check for activity after the end date.

A credit adjusts the account

A credit reduces the balance for a stated adjustment. It is not a bank payment. Record a clear reason so that the tenant and your team can understand why the amount changed.

Prepare and check the documents in Albo

Use Send invoices when you want to review and post the selected tenants’ new charges. Use Send statements when you want to share their recorded accounts for selected dates. Preview the documents and check the recipients before confirming. Follow the resulting messages in Email outbox; a sent status is not proof that a tenant has received or read the email.

See the rental invoices and statements feature page for the workflow, or follow the monthly rental billing checklist. You can also explore the admin and tenant demo before using your own company records.

Try it with fictional records

The free demo has both administrator and tenant views. Use it to explore the workflow without sending real emails or signing a real agreement.
