Behind the document

The whole rental account.
One clear record.

From the rent you prepare to the payment you record, the account history keeps the detail together.

Rent and extra charges

Monthly billing brings tenant charges into one list. Select who to bill, check monthly rent and add applicable extra charges. Review the selected records before sending invoices or statements; the count shows who is included.

Statements for the dates you choose

An invoice sets out the charges being billed. A statement shows opening and closing balances, charges, recorded payments and credits across your selected dates. Prepare a month, a longer period or the history an individual tenant needs.

Payments and credits explained

After checking your bank records, record the verified EFT against the tenant’s account. Issue a credit with a reason when an adjustment is needed. Recording a payment does not move money or automatically reconcile your bank account.

Your company, on every document

Add your logo, contacts, banking details and billing due day in company settings. Rental documents use your company information and the occupied unit address. Your banking details tell tenants which account to pay.

A practical monthly routine

Prepare. Review. Send.

  1. Set up the tenancy

Add the property and tenant, monthly rent and agreed billing details.

  2. Review the charges

Select tenants in monthly billing, confirm rent and include any applicable extras.

  3. Keep the account current

Send invoices, record verified payments and email statements for the required dates.

Agreed overdue interest, clearly recorded.

Enter the annual rate agreed for each tenancy. The system calculates daily interest on unpaid overdue balances and posts it when an invoice is issued; statements show posted interest. Use 0 where no interest applies, and check the tenancy agreement before choosing a rate.

Questions about billing

Does the software collect rent automatically?

No. Tenants pay the bank account you provide. You record verified EFT payments in their accounts.

Can I send only selected tenants their statements?

Yes. Use the billing selection, or open an individual account and choose Send statement with the required dates.

Are invoices and statements sent automatically each month?

You prepare and review the charges, select the tenants and choose when to send. Outgoing messages can be followed in the email outbox.

Are my rental bank details used for coffee contributions?

No. Your company banking details are for tenants’ rental payments. Optional once-off coffee support to Albo is a separate PayFast payment and does not affect your access.
