Behind the sign-in

Your company’s records.
Shared with the right tenant.

Administrators manage the portfolio. Tenants see the account and tenancy records shared with them.

A rental account they can follow

Tenants can view invoices, statements, charges and recorded payments. Your company’s banking details show where rent should be paid. The portal keeps the account information together without collecting rent on your behalf.

Documents with a home

Share leases, notices, invoices and statements in the documents section. Keep files linked to the correct property and tenancy, with categories that make them easier to find. Documents linked to cancelled leases are labelled accordingly.

A record of acknowledgement

Tenants open shared notices and confirm they have read them. Administrators can see the acknowledgement status and resend reminders when attention is still needed. An acknowledgement records this portal action; it is separate from signing a lease renewal.

Your own brand and contacts

Set up your company logo, contact numbers, email, banking details and billing due day. Tenants use your branded portal and can find the contact information you provide. Each company maintains its own portfolio.

From setup to sign-in

Invite them in.
Keep the paperwork together.

  1. Set up your portfolio

Register your company, add its details and create the property before adding the tenant, rent and lease dates.

  2. Send their access details

Check the tenant’s email address. The invitation provides a password setup link so they can choose their own password and access your company portal.

  3. Share and follow up

Add the documents and notices they need. Follow outgoing messages in the email outbox, then check acknowledgements in the management view.

Two tenants.
The sign-ins that suit them.

For a joint lease, enter both names. Give each tenant a different email address for separate sign-ins, or choose one shared login for both tenants. Separate accounts receive their own access emails; the shared account uses one invitation. Both arrangements keep the same lease and rental account together. Before preparing or sending a new joint renewal, record both full tenant names and registration / identity numbers in Edit tenancy.

When it is time to renew

Review it online.
Keep the signed copy.

The administrator prepares a renewal from the current tenancy records. Original company, tenant, address, lease dates and previous rent are filled from the system; the new dates, rent and agreed changes are reviewed before sending.

  1. The landlord sends and signs

The landlord signs when sending the renewal. The tenant opens the full review PDF, which shows signatures already received.

  2. Each tenant reviews and confirms

With separate logins, each named tenant confirms their own signature with their password. With one shared login, the signer explicitly confirms authority to sign for both named tenants. For a specific pending renewal, the administrator can also authorise acceptance for both through the primary account while preserving two separate logins. The signer enters their own recorded name and confirms authority to act for both. The signing record identifies the actual signer and one password confirmation acting for both.

  3. The completed copy stays in both portals

Once tenant signing is complete, the lease dates and new rent update automatically. The completed PDF is saved under Documents & notices → Leases for the tenant and administrator, and the administrator is notified by email.

Online signing is for lease renewals. For first leases, use your own agreement or the downloadable blank template. If a signed renewal is returned by email, the administrator can upload its complete PDF, including the three renewal pages and any annexures (up to 20 pages and 2 MB) against the pending request, confirm all required signatures and the agreed terms, and accept it with their own password. Acceptance updates the requested dates and rent and saves the signed copy in both portals. It is recorded as an accepted offline copy, not as password-confirmed tenant signatures. Tenant uploads are kept for administrator review; simply uploading a copy does not update the tenancy. The return prompt disappears once the renewal is received or fully signed online.

Questions about tenant access

Can tenants sign in from the Albo homepage?

Yes. Administrators and tenants of Albo and registered companies can use the homepage sign-in. Use the email and password set up for the account, or your company’s own portal link.

What if an email address changes?

Edit the tenancy and check the saved address carefully. Changing an email sends a fresh password setup link to the new address. Future messages and resends use that saved address.

What if someone forgets their password?

Use Set or reset your password on the sign-in page to request a password setup or reset link. The tenant chooses their own password; administrators do not need to share a password with them.

How large can tenant uploads be?

Tenant uploads must be 2 MB or less per file. Check the upload field for the file types accepted for that particular document or report.

Is acknowledging a document the same as signing it?

No. Acknowledging a notice records that the tenant confirmed they have read it. Online renewal signing has a separate review, consent and password-confirmed signing process.
